Securing an acceptance letter from a Chinese professor is one of the most critical steps when applying for the Chinese Government Scholarship (CSC), especially for Master’s and PhD programs. A professor’s official acceptance serves as strong proof that they are willing to supervise your research or studies at a Chinese university.

However, not all Chinese universities require an acceptance letter for the CSC application. Therefore, it is vital to thoroughly check the specific admission guidelines of your target university. Some institutions highlight pre-admission or supervisor acceptance letters as optional or priority documents, while others may not mention them at all.

1. Does a Student Need an Acceptance Letter from a Chinese Professor?

Whether you need an acceptance letter depends entirely on the university and the specific program you are applying to.

  • Example: The Hefei University of Technology lists the supervisor’s acceptance letter as optional, but applicants who provide a pre-admission letter receive priority during evaluation. Other universities, meanwhile, list a supervisor’s pre-admission letter as a mandatory application document.

For postgraduate applicants particularly for research-based degrees like a Master’s or PhD it is always strongly recommended to contact potential supervisors before submitting your final application. Besides formal acceptance letters, many universities also accept other documents (such as an email confirmation of interest) to demonstrate supervisor backing.

Before sending out emails, always check these key questions on the university’s admissions portal:

  • Does the university explicitly require a pre-admission letter?
  • Is the acceptance letter required for Master’s, PhD, or both?
  • Does the university provide an official template for the letter?
  • Does the professor need to physically sign or stamp the document?
  • Does the letter need to be uploaded directly with your initial CSC online application?

2. How Far in Advance Should You Contact Chinese Professors?

Timing is everything. Applicants are advised to contact potential professors a few months before the application deadline. Professors are exceptionally busy, and you must give them enough time to review your profile, read your documents, answer your questions, and decide whether they have the capacity to accept you.

  • Timeline Strategy: If your target university’s application window opens between September and December, start reaching out to professors starting in September.
  • Avoid Last-Minute Panic: Never leave supervisor outreach to the last week. If a professor does not reply, you will need ample time to pivot and contact alternative supervisors. Always align your outreach schedule with your target program’s specific deadline.

3. How to Find the Right Chinese Professors?

Finding the right professor is far more effective than sending out hundreds of generic emails. The key is to find faculty members whose ongoing research aligns precisely with your academic background and interests.

Where to Look:

  1. University Official Website: Navigate to the faculty or department page of your target major to collect basic information, including research fields, academic positions, and professional email addresses.
  2. Google Scholar: Look up the professor’s profile to review their latest publications. Read at least one or two recent papers to understand their current focus.

Key Questions to Ask Yourself Before Adding a Professor to Your List:

  • What is the professor’s exact research field?
  • What are their latest publications or ongoing projects?
  • What is their current academic position (e.g., Associate Professor, Chair)?
  • Is their research topic closely related to your master’s proposal or career goals?
  • Do they actively accept international students?

Organize with an Excel Tracker

Create a simple Excel sheet to keep your outreach organized. Include columns such as:

Name | University | Research Fields | Email Address | Date Contacted | Response Status

4. How to Contact a Professor by Email

Email is the primary channel for communicating with potential supervisors. Your initial email must be brief, highly polite, and personalized.

Recommended Subject Line Format: Prospective CSC Scholarship Student – [Your Study Field] – [Your Name]

Email Structure Guidelines:

  • Introduction: Briefly introduce yourself, your current/previous university, your educational background, and your intended study field.
  • Purpose: State clearly that you are applying for the upcoming CSC Scholarship and wish to study under their supervision.
  • Why This Professor: Mention a specific paper they published or a research project they lead to prove you have genuinely researched their work. Never copy-paste the exact same email to multiple professors.
  • The Ask: Politely ask if they have availability to accept a new international student and whether they would be willing to issue a pre-admission or acceptance letter.
  • Closing & Attachments: Mention your attached CV and academic transcript, and thank them for their time.

5. What to Include in Your Email (Under 300 Words)

A concise, well structured email helps busy professors quickly grasp your value. Keep your message organized into short paragraphs:

  1. Who you are: Name, background, and current institution.
  2. Your research interests: What specific topic you want to research.
  3. Why them: Specific connection to their academic work.
  4. Scholarship plan: Mentioning your CSC Scholarship application plan.
  5. Intended intake year: When you plan to start.
  6. Call to action / Request: Asking about supervisor consent / acceptance letter.
  7. Attachments list: CV, transcripts, proposal.

6. Essential Documents to Send with Your Email

Do not overwhelm professors with a massive folder of unrequested files. Keep your attachments clean and relevant:

  • Academic CV: Essential document highlighting your education, research experience, publications, skills, and achievements.
  • Academic Transcript: Proof of your academic performance.
  • Research Plan / Study Proposal: Crucial for research degrees (PhD/Master’s) to show your scientific preparedness.
  • Degree & Language Certificates: (If applicable/ready).

7. How to Follow Up with a Professor

Because professors juggle teaching, lab work, and administrative duties, your first email might easily get buried.

  • If you do not receive a reply within 1 to 2 weeks, send a polite, concise follow-up reply to your original email thread.
  • Avoid spamming: Do not send multiple follow-ups within days of each other. If there is still no response after a follow-up, move on and contact other potential supervisors on your list.

8. What Should an Official Acceptance Letter Include?

If a professor agrees to supervise you, the format of the acceptance letter may vary depending on university guidelines. Always follow the official institutional template if one is provided.

A standard acceptance letter typically contains:

  • Applicant’s full name and passport/application details
  • Professor’s full name and academic title
  • Department and university name
  • Proposed degree program and major
  • Intended research area
  • Academic session or year of intake
  • Explicit statement of willingness to supervise/accept the applicant
  • Professor’s signature, date, and university official letterhead/stamp (if required)

9. Common Mistakes to Avoid

  • Using Generic Emails: Sending identical copy-pasted emails immediately signals a lack of genuine interest.
  • Zero Background Research: Reaching out to a professor whose field has nothing to do with your profile wastes everyone’s time.
  • Writing Essays: Making your first email too long and wordy. Keep it under 300 words.
  • Over-attaching Files: Attaching unnecessary certificates and large folders right away.
  • Ignoring University Guidelines: Failing to check whether the university actually requires a supervisor letter for the CSC process.
  • Falling for Scams: Never pay money or offer bribes to individuals promising a “guaranteed” paid CSC scholarship acceptance letter.
